Tennis Centre Receptionist

Purpose and Outline of Role 

The primary function of the Tennis Centre Receptionist is to provide superior customer service and administrative support at Queenwood’s Tennis and Sport Centre located in Oxford Falls. They are responsible for the organisation of reception duties, bookings of the Queenwood Tennis and Sport Centre, as well as assisting the Head Tennis Coach in the efficient running of the tennis program.


Reporting Relationships

The Tennis Centre Receptionist will report ultimately to the Principal and directly to the Head Tennis Coach and the Director of Sport.


Employment Basis

Permanent Full-Time with 38 hours per week worked across Monday – Friday.


Role Responsibilities 

  • Maintain bookings for Tennis programs, competitions and facility hire on the database.
  • Continually update and maintain the InTennis booking system
  • Assist Queenwood students and community members to register for lessons.
  • Ensure a high level of customer service at all times
  • Perform a range of financial tasks including, money handling procedures – record keeping, invoicing, cash handling & takings.
  • Assist the Head Tennis Coach to coordinate the rostering of reception and coaching staff
  • Administration of all internal and social competitions, school and community events including team allocations, draws, trophies, prizes and recording results
  • Updating key spreadsheets essential to the function and record keeping of the Tennis Centre
  • Effective communication with all coaching and reception staff
  • Promote existing programs while also assisting in the planning and implementation of additional programs and offerings at Junior School and The Queenwood Tennis and Sports Centre
  • Liaise directly with the Queenwood Design Team to coordinate the advertising and promotion of the Centre and programs offered.
  • Communicate all notable happenings and news to Queenwood Design Team for social media posts and promotion
  • May be required to open or close the Tennis Centre


Key Competencies 

  • Experience in Tennis and Sport Centre management
  • Strong understanding of the vision and direction of the Queenwood Sport Department
  • Strong understanding and a confident approach to customer service
  • Confident approach to customer interaction and the ability rectify and satisfy customer complaints
  • Strong computer and administration skills
  • Professional telephone manner
  • Must be demonstrate a thorough understanding of and usage of Excel software
  • Familiar with InDesign software or a similar program 
  • Capacity to produce structured, detailed plans and reporting
  • Ability to work independently and actively assist in pursuing new members
  • Demonstrated ability to retain current members and grow participation
  • Flexible working hours
