The Position: 

We seek a highly organised Student Services Officer with a natural talent for multi-tasking, efficiency, and a passion for student support. This role is available 2 days per week (Mondays and Tuesdays) during term-time and is based in Junior Administration office.

In this frontline role, a high level of customer service is essential as our students and families are our number one priority. We pride ourselves on these relationships, and this role is an integral part of maintaining this connection.

The role of the Student Services Officer includes (but not limited to):

Student attendance 

  • Tracking daily absences entered into the College database for the Secondary School
  • Follow-up with families regarding unresolved absences for the day
  • Ensure the setup of Exceptions and mark exception rolls for excursions, camps and other exceptions to the timetable.
  • Enter student Late Arrivals and Early Departures.

Reception coverage

  • Welcome and register visitors to the College. Attend to their requests and refer them to the appropriate staff member.
  • Effectively manage information flow in a busy reception environment and attend to any resulting requests in a timely fashion.
  • Assist staff and students with general requests.
  • Tend to minor injuries of students (scratches, ant bites, etc.)
  • Triage students and send students to the Health Centre when required
  • Ensure the Reception area is maintained at a high level of cleanliness and a professional standard of presentation.
  • Advise of Wet Weather morning tea and lunch times.
  • Support communication to classes on behalf of parents for change of pick-up arrangements.

General Administration

  • Assistance in managing the College emergency process
  • Where required, assist with data management tasks in the College systems
  • Manage student lost property in the Primary School
  • Assistance with photocopying/binding 
  • Manage internal mail between classrooms and the Primary Office
  • Maintain a thorough knowledge of Primary School activities to support parent enquiries
  • Assistance with communication between the Primary School and families

Confidentiality, discretion, and consistent sound judgement are critical attributes for this role. 

The Candidate

The Student Services Officer will possess exceptional customer services skills with the ability to demonstrate practical and professional communication skills anticipating the needs of students, families and visitors. 

The successful applicant will be organised with excellent time management and be able to adapt to a dynamic and changing work environment. 

The Student Services Officer will have sound working knowledge of the MS Office Suite and be able to quickly learn how to use the College systems of Synergetic, SEQTA, and CRM.

Previous experience in customer service administration, reception or school-based reception/administration roles will be advantageous.

Candidates must be prepared to model and maintain the Christian ecumenical ethos, values and beliefs of the College and hold a current Working with Children Blue Card (or ability to obtain a Blue Card). Candidates must also be able to provide confirmation of COVID19 vaccination.
