The Position

Reporting to the Executive Assistant (EA) to the Principal, the Receptionist’s is responsible for providing high-quality administration and office support, along with exceptional customer service to all visitors, staff, and students.

We are seeking a highly professional career receptionist with demonstrated administrative and executive support experience, in combination with strong technical, organisational and advanced stakeholder engagement skills.

This is a full-time, one-year fixed-term position to cover Parental Leave.

Your responsibilities will include

  • providing high-quality and timely administrative support to the Executive Assistant (EA) to the Principal including:
  • preparation of written correspondence, including composing appropriate and timely responses
  • maintaining a high level of confidentiality
  • providing high-level reception support, which meets the daily requirements of the School, including: 
  • responding to all visitor enquiries in a professional, warm, and efficient manner
  • directing incoming calls to the appropriate staff member/department
  • responding to, or redirecting email enquiries to the appropriate staff member/department
  • maintaining the reception area to a high standard 
  • welcoming visitors to the School and managing the sign-in/sign-out process
  • remaining informed about upcoming school activities by perusing the School Calendar and ensuring that accurate information is provided to parents, visitors, and clients
  • remaining informed about the School’s programs, initiatives, and achievements
  • supporting and assisting at School Open Days and other after-hour events, as required

Qualifications and experience required

  • Tertiary qualifications in a relevant discipline, such as Office/Business Administration 
  • A minimum of 5 years’ experience working in a professional reception position 
  • Demonstrated intermediate computer skills and experience with the Microsoft Office Suite, including mail merge features, and the ability to navigate a database management program
  • Advanced capacity to attend to fine detail and ensure accuracy and confidentiality
  • Demonstrated high-level written and oral communication skills
  • Proven ability to liaise professionally with stakeholders in a skillful manner, understanding the importance of protocol and quality customer service
  • Strong organisational and time management skills to prioritise competing demands and deliver quality outcomes within set timeframes
  • Displays energy and initiative and acts in a self-directed way
  • Highly professional presentation and manner, including a polished telephone manner
  • Ability to acquire and maintain a Positive Working with Children Check (Blue Card)
