Operations Support Officer – Shannons Auctions & Events

Shannons is an Australian icon and in addition to being the leading insurer for motoring enthusiasts, is also Australia’s leading Classic Auction House.

Due to the growth of our Shannons business and operations, we have a new position of Operations Support Officer available. This exciting role will report to the Operations Support Leader and will be involved in supporting both the BDM and Auctions teams with a broad range of administrative responsibilities.

You will enjoy working in a dynamic team of people who are passionate car enthusiasts and strong brand advocates.

Key Responsibilities:

  • Supporting the Operations Support Leader, BDMs and Auctions team with administrative responsibilities
  • Invoicing and data entry
  • Travel bookings and co-ordination
  • Entering events into the national events database and SharePoint site
  • Supporting BDMs with administrative set up of events nationally
  • Event staffing and rostering in conjunction with CVLs and WFM
  • Be the contact point for all updated event materials
  • Work with the Marketing team on coordination of campaign point of sale and distribution of these items
  • Order and maintain stock of event merchandise
  • Real estate and Facilities oversight and support
  • Updating of training and key team documents
  • Monthly Report preparation
  • Support leaders with audits and compliance requirements 
  • Upkeep of WH&S documentation and risk processes

To be considered for the role you will need:

  • Extensive administrative experience
  • Proven stakeholder management skills and experience
  • Demonstrated ability to work autonomously
  • Extensive experience working within the Group and exposure to organisational processes and procedures
  • Strong attention to detail
  • Ability to work effectively under pressured situations
  • A customer centric mindset
  • Strong communication skills and a team player
  • Computer literacy – advanced user of PC and database applications
  • Demonstrated strong ability to problem solve
