Administration and Committees Coordinator

About the role

This newly created role comes as result of reviewing the Academy’s needs and how to best shape our team to deliver on our ambitious 2020-2025 Strategic Plan.

The Administration and Committees Coordinator will coordinate administrative systems and provide support to the Academy team and Fellowship; and to the Director of Operations and Strategy and Executive Director in ensuring the operations of the Academy run effectively and efficiently. This includes office management, equipment and supplies, routine financial and compliance duties, information and records management, secretariat support to committees, and liaison with our outsourced serviced providers including IT and bookkeeping.

This is the perfect opportunity for an experienced administrator who is passionate about organisational administration and secretariat services, and committed to continuous improvement.

About you

We’re looking for someone who is passionate about administration and secretariat services and committed to continuous improvement.

To be successful in this position you will have:

  • High level administration experience, excellent coordination and organisational skills with the ability to manage multiple simultaneous tasks and competing priorities to meet short- and long-term deadlines.
  • Office management experience, including knowledge of finance, HR, IT and other corporate functions.
  • Strong interpersonal skills and the ability to build and maintain productive working relationships with internal and external stakeholders.
  • Advanced MS Office skills, and demonstrated experience and literacy with other IT systems including CRMs and project management platforms.
  • A demonstrated ability to liaise effectively and proactively with contractors and service providers, taking responsibility to ensure all is on track and escalating appropriately if required.
  • Strong communication skills both verbally and in writing, and the ability to clearly articulate advice or requirements and break down complex issues into simple and user-friendly language.

The following experience is also desirable:

  • Four plus years in an administration role preferably in academia, research, or membership organisations
  • Qualifications in business, administration
  • Executive assistant experience
