About the role: 

Reporting to the Executive Manager – People & Culture, you will be responsible for the day-to-day administration of the P&C department. You will be the point of contact for all staff, volunteers and external stakeholders. This role includes organisation of major cross-site volunteer events, management of confidential documents and databases relating to staff and volunteers, end to end recruitment of lower-level positions throughout the organisation and taking a lead in promoting a healthy company culture.  

This role has the flexibility to work from home with the responsibility for the execution of P&C initiatives and streamlining processes within the department.  The main purpose of this role is to advise, source and support the operations of the business while being a liaison for internal and external stakeholders.

You will need to be proactive, responsive and astute, and have the ability to understand what needs to happen to achieve our business goals.  

Your responsibilities will include: 

  • Being the first point of contact for any HR Queries that come into the department, whether that be via the HR Inbox, over the phone or face to face. 
  • Managing the HR Inbox and escalating queries when needs be. 
  • Producing ad hoc HR reports on any people metrics. 
  • Management of confidential databases 
  • Direct contact for new volunteers by phone or email 
  • Liaise across all departments on projects 
  • Provide advice and coaching to leaders on people management 
  • Assist with leading employee engagement initiatives 
  • Coordinating end to end recruitment on non-managerial/non-senior positions 
  • Generating contracts and new starter packs. 
  • Organise Staff & Volunteer events 
  • Coordinate and leave meeting notes and Committee minutes 
  • Oversight of company intranet, social club, head office management  
  • Build relationships with third-party supporters providing them with support and communications 
  • Assist with general administrative tasks 
  • Assist with the recruitment and selection process of non-managerial staff and volunteers 
  • Develop and maintain accurate Volunteer Database/software 
  • Arrange and facilitate induction training 


To be successful in this role:

You are approachable, people-focused approach with excellent communication skills. Your drive and commitment allow you to maintain a solution-focused approach to relationship building and development of people & culture initiatives. You will be highly motivated, energetic, work well with others and a self-starter. Communication skills will be pivotal in our decision for this role. 

  • You have experience in a similar HR role or relevant degree 
  • You have high self-motivation with an ability to work both autonomously and within a team 
  • You have high levels of discretion and confidentiality 
  • You’re passionate about Heritage and are eager to share that passion with others 
  • You’re a strategic, creative and practical thinker and planner. 
  • You have outstanding written and verbal communication skills. 
  • You have excellent computer literacy and office 365 skills. IT Savvy will an aptitude to learn new systems and platforms 
  • Excellent administrative and project management skills. Ability to manage numerous projects simultaneously, with good attention to detail, often working to tight deadlines. 
  • Have the ability to show initiative and take ownership of duties and tasks 
  • Be proficient in the use of Microsoft Outlook, Word and Excel 
  • Previous experience with Google G Suite 
  • Have the ability to learn quickly and work independently 
  • Experience building relationships and rapport on the phone 
  • You’re an adaptable and pragmatic problem solver  
  • You have strong people skills — you’re approachable, a good listener and empathetic. 
  • You have the highest levels of personal integrity and ethical behaviour 
  • You work well under pressure 
  • You have excellent time management skills and can make decisions quickly 
  • You are an excellent and effective negotiator 


Bonus points if: 

  • You have experience working in the not-for-profit space  


Interviews for this role will take place in December/January with the successful candidate starting at the end of January/ February.
